Understanding the challenge
Growth was outrunning the support desk. The same how-to questions, password resets, and setup problems flooded in every day, first-response times crept up, agents burned out on repetitive work, and new customers waited too long to get onboarded and to value. "My team was answering the same ten questions a hundred times a day and had nothing left for the customers who genuinely needed us," the VP of customer experience said. A generic chatbot the company had tried only frustrated customers, and the support tool and CRM did not talk to each other, so agents copied information back and forth by hand.
Our approach
The company did not need a chatbot that deflects blame instead of tickets. It needed agents that resolve the routine work and hand the rest to a human, wired into the systems the team already used. We combined three of our services:
• AI agents at the core: a support and onboarding agent that resolves routine questions, walks new customers through setup, and answers from the company's own knowledge base, with human escalation for anything complex.
• Workflow automation around it: automatic triage and routing that sends the tickets needing a person to the right agent, with escalation rules and monitoring so nothing falls through.
• A Salesforce integration so the agent and the automations work against one live customer record, and every interaction is logged instead of copied by hand.
• Human approval and clear boundaries, so the agent only acts within its defined lane and a person owns every judgment call.
Technical innovation
The agent resolves rather than deflects: it draws only from the company's approved knowledge base, so answers are grounded in real documentation, and it takes multi-step action, opening the account, applying the setting, and confirming the fix, rather than just replying with a link. The workflow layer decides in real time what the agent can close on its own and what needs a human, routes the exceptions, and keeps the support tool and Salesforce in sync automatically. Nothing reaches a customer as a final resolution without staying inside the boundaries the team set.
Outcome
The agent now resolves 45% of incoming tickets on its own, without a human touching them, and first-response time on the rest dropped sharply because agents were no longer buried in repetitive work. New customers got through onboarding faster and reached value sooner, agent burnout eased, and because every interaction synced to Salesforce, the team finally had a clean, current view of each account. "My people spend their day on the customers who actually need them now," the VP of customer experience said.
