Understanding the challenge

The front desk was drowning, and the schedule showed it. Anything clinical, or anything outside its defined lane, escalates immediately to a coordinator, and the agent draws only from the group's own approved information rather than the open internet, so patients never get an invented medical answer. Because it connects to the practice-management system and acts in multi-step sequences rather than just replying, it can offer a cancelled slot to the right waitlisted patient and rebook them end to end, with the privacy guardrails built into the workflow.

Outcome

No-shows fell by 34% as automated, personalized reminders replaced the manual scramble, and cancelled slots got filled from the waitlist automatically instead of sitting empty. Coordinators got their mornings back for in-person patients, after-hours booking requests stopped going to voicemail, and because the agent stayed strictly in its administrative lane with clinical questions escalated to staff, the group got the efficiency without touching the trust its patients place in it.
